The role is responsible for delivering accurate, timely and compliant administration, maintaining employee records, supporting People processes and coordinating People activities across the business.

Roles at this level provide administrative and operational support within established procedures and company policies. The role focuses on the accurate completion of People processes, maintaining records, preparing documentation, coordinating activities and supporting the delivery of People initiatives. The individual is responsible for managing their own workload, ensuring deadlines are met and escalating issues to the People Business Partner where guidance or decisions are required. The role requires strong organisational skills, attention to detail and the ability to work effectively with colleagues and external providers.  

 

Principal Accountabilities:

  • Act as the first point of contact for People administration queries, and escalating issues to the People Business Partner where appropriate.
  • Administer all employee lifecycle processes, including onboarding, contractual changes, transfers and offboarding.
  • Prepare employment documentation, including contracts of employment, amendment letters, probation correspondence and other People-related documentation.
  • Coordinate induction and onboarding activities and ensure all required actions are completed within agreed timescales.
  • Maintain employee records and data within the HR system, ensuring information is accurate and up to date.
  • Carry out regular data checks and support the resolution of data discrepancies.
  • Maintain electronic personnel files in accordance with company requirements, regulatory obligations and data protection standards.
  • Coordinate and monitor pre-employment and ongoing employee screening, ensuring compliance with the Company's Employee Screening Policy.
  • Administer employee benefits throughout the employee lifecycle, including enrolments, amendments and renewals.
  • Coordinate the monthly payroll process, ensuring employee changes are verified, accurately recorded and submitted within agreed deadlines.
  • Coordinate recruitment and work experience activities, including interview scheduling, offer documentation, onboarding administration and maintaining recruitment records.
  • Produce and maintain People data, to ensure information is accurate and available within required timescales.
  • Coordinate audit requests, compliance reviews and other People governance activities, to ensure these are completed, accurate and available as required.
  • Support the delivery of People projects and business initiatives by coordinating activities, maintaining project plans and trackers, and following up on outstanding actions.
  • Support the wider People Team with the delivery of People activities, initiatives and administrative processes as required, including coordinating tasks with the Mauritius Shared Services team to ensure work is completed accurately and within agreed timelines.
  • Such other duties as the management may at times reasonably required.  

The skills we are looking for:

  • Hold a CIPD Level 3 qualification or equivalent.
  • Previous HR experience working within a fast-paced, high-volume environment with competing priorities and changing business requirements.
  • Strong administrative and organisational skills, with the ability to manage multiple tasks and deadlines effectively.
  • Excellent attention to detail and a high level of accuracy when handling employee data, documentation and records.
  • Ability to work independently, manage workload effectively and identify when matters should be escalated to the People Business Partner.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office applications, particularly Word, Excel and Outlook.
  • Commitment to maintaining confidentiality and handling sensitive information appropriately.
