Senior Administrator (Client Services Support), Corporate
Roles at this level are held by individuals with strong experience within the Trust and Corporate Services industry, capable of operating with minimal supervision and taking ownership of client deliverables. The individual will manage matters through to successful conclusion, build effective relationships, apply sound judgement and commercial awareness, and support junior team members while contributing to continuous improvement.

Job Purpose:
To support the Client Services Support team in delivering onboarding, due diligence and company secretarial services across Fund, Private Client and Corporate structures. The role holder will review due diligence for incoming and existing business throughout the lifetime of each structure, applying the three-tier test and a risk-based approach to identify beneficial owners and controllers and assess the suitability of documentation received. The role also includes reviewing and processing company minute packs, maintaining complete and accurate internal and external statutory records, and ensuring compliance with Hawksford policies and procedures and applicable AML/KYC, disclosure, legal, regulatory and corporate governance requirements.
Key Skills, Knowledge and Experience:
- Experience of onboarding Fund, Private Client and Corporate structures and reviewing due diligence for new, existing and ongoing business.
- Strong working knowledge of AML/KYC, customer identification measures and the application of a risk-based approach to due diligence.
- Knowledge and practical understanding of beneficial owner and controller identification using the three-tier test, together with relevant Jersey disclosure law and Money Laundering Order requirements.
- Company secretarial experience, including the ability to review board minutes, written resolutions, corporate actions and supporting documentation to identify and complete required statutory updates.
- Experience of maintaining statutory registers, entity data, share registers and ownership records, with strong attention to supporting documentation, accuracy and audit trail integrity.
- Working knowledge of the Jersey Registry MyRegistry portal and applicable filing types, including associated party updates, annual confirmation statements, incorporations and dissolutions.
- Ability to interpret and consistently apply internal policies, governance standards, legal and regulatory requirements and jurisdictional or fiduciary obligations.
- Strong analytical, organisational and communication skills, with the ability to investigate discrepancies, manage competing deadlines and work with minimal supervision.
Principal Accountabilities:
- Support the onboarding of Fund, Private Client and Corporate structures, ensuring requirements are identified, assessed and progressed accurately and efficiently.
- Review due diligence for incoming and existing business throughout the lifecycle of each structure, applying customer identification measures and a risk-based approach in line with internal and external risk assessments.
- Apply AML/KYC requirements, the three-tier test, Jersey financial services disclosure law, the Money Laundering Order and internal policy to identify beneficial owners, controllers and other relevant parties and assess the suitability and completeness of documentation received.
- Maintain complete and accurate statutory records, registers and corporate data for client entities and the Hawksford Group in accordance with internal governance standards and applicable legal and regulatory requirements.
- Review and process board minute packs, written resolutions and corporate actions, identify resulting statutory changes and update directors, officers, registered details, beneficial owners, controllers, share registers and ownership records within required timeframes.
- Manage corporate actions and statutory filings through the Jersey Registry MyRegistry portal, including associated party updates, annual confirmation statements, company incorporations, dissolutions and other applicable submissions, ensuring accurate and timely completion.
- Maintain consistency across Hawksford core systems, underlying legal documentation and external registry records through controlled updates, appropriate supporting documentation and a clear audit trail.
- Identify, investigate and resolve due diligence, statutory data and record discrepancies, escalating material risks, exceptions, control concerns and potential policy or regulatory deviations as appropriate.
