AI transparency notice

How we use artificial intelligence (AI) technologies

Hawksford uses artificial intelligence (AI) technologies to support our business operations, client services, regulatory compliance activities, research, document preparation, and administrative processes.

We are committed to using AI responsibly, transparently, securely, fairly, and in accordance with applicable legal and regulatory requirements. Data processed through approved AI tools is subject to appropriate contractual, technical and organisational safeguards, and is not used to train public AI models.

AI tools are used to assist our employees in carrying out their work and remain subject to appropriate human review, oversight and accountability. We do not rely solely on AI to make decisions that may have a significant impact on individuals.

Where AI tools process personal data, such processing is carried out in accordance with Hawksford’s Group Privacy Notice, applicable data protection laws, and our internal governance standards. Appropriate contractual, technical and organisational safeguards are implemented to protect personal data. Unless otherwise stated, information processed through approved AI solutions is not used to train public AI models.

We maintain appropriate governance, risk management, security controls, monitoring and oversight arrangements to support the responsible and lawful use of AI. Where required by applicable law, or where individuals interact directly with an AI system, we will provide additional transparency information at the relevant point of use.

If you have concerns about how we use AI or personal data in connection with AI technologies or wish to request human review of a decision where such a right applies, please contact our Data Protection Officer at DPO@Hawksford.com.
