Principal Accountabilities: 

  • Oversee the maintenance, functionality and aesthetics of office facilities. This includes managing day-to-day operations like repairs, space planning, office moves and upgrades, and maintenance in line with lease terms and jurisdictional requirements.
  • Negotiate, renew and manage office lease agreements to secure favourable terms and align with organisational needs. This involves collaborating with legal advisors and management to evaluate contract terms and maintain relationships with landlords and property managers.
  • Administer and manage contracts for office services such as cleaning, security, maintenance, access systems and utilities. Ensure contractors and service providers deliver high-quality, cost-effective solutions.
  • Negotiate and review service agreements to ensure value for money and alignment with organisational needs. Monitor service provider performance against agreed terms and KPIs.
  • Oversee the procurement of general office supplies within budget and monitor the effectiveness of supply chains. Manage physical business document archiving systems and manage expenditure within allocated budgets, contributing to the budget setting process.
  • Work with the COO and senior management to identify and secure new premises for lease or purchase as needed.
  • Ensure compliance with local health and safety legislation and maintain appropriate policies and procedures for the location. Undertake relevant risk assessments in line with legislative requirements and support staff in implementing recommendations.
  • Provide staff with training and guidance on health and safety best practice and internal policies and procedures.
  • Act as the central point of coordination for health and safety responsibilities across office locations, ensuring local requirements are understood, documented and followed.
  • Maintain oversight of health and safety actions, including risk assessments, incident reporting, corrective actions and regular reviews with relevant local teams or external advisers.
  • Ensure the development and ongoing review of associated policies and procedures and input into regular board reports as required.
  • Maintain records for each office and collaborate closely with operational colleagues to monitor budgetary spending. Use Hawksford applications to track and report on all office rebrands, fit-outs and refurbishments.

The successful candidate must have:

  • Technical Expertise: Strong understanding of building systems (HVAC, electrical, plumbing, etc.), machinery operation, and technological solutions.
  • Leadership and Management: Effective leadership, team management, project management, and strategic thinking.
  • Communication and Organisation: Strong communication skills, organisational abilities, financial acumen, and a focus on sustainability.
  • Health and Safety: Working knowledge of health and safety requirements, risk assessments, incident reporting and workplace compliance across multiple office locations.
