Trainee Administrator (Immigration/Visa Services team)

We are looking for a Trainee Administrator to join the Immigration and Visa Services Team in our Hong Kong Office.

Location:  Hong Kong

Principal accountabilities:

    • Preliminary analysis of commercial agreements provided by our clients
    • Analysis of employment law related matters (e.g. employment agreements, termination of employment) pursuant to the Hong Kong Employment Ordinance
    • Support in the liaison with Hong Kong law firms and public notaries on behalf of our clients
    •  Research on specific topics in relation to immigration or legal related matters, providing reports to the line manager
    • Prepare memo and presentations on specific topics regarding Hong Kong immigration / visa or legal related matters 
    • Study the characteristics and requirements of the main types of Hong Kong visa (training, employment, investor), learn and help to prepare visa applications to be submitted to the Hong Kong Immigration Department
    • Learn how to draft all the relevant letters and organize the visa application documents
    • Receive and handle all the correspondence related to the visa application and liaise with the Hong Kong Immigration Department officers on behalf of the client
    • Liaise with clients by email, phone calls as well as attend meetings, under the supervision of the line manager
    • Keep cases organized by establishing and organizing files
    • Input relevant information into the database, monitor cases’ status and the various deadlines
    • Carry out administrative and back-office duties: handle phone calls, draft email replies, data input in the internal system/software under the supervision of the line manager

    The type of person we are looking for:

    • Proficient in English
    • Good knowledge about technical legal English
    • Analytical and research skills
    • Communication skills (good speaking, writing and interpersonal skills are needed to write documents, authorities and clients)
    • Organizational skills (accuracy in filing, record keeping and in general keeping track of the documentation)
      Pro activity and problem-solving attitude
    • Strong attention to detail
    • Must be able to work under own initiative
